(15) Checking my list of appraisers


Maintaining accurate list of appraisers on SOAR is more than just good practice.

Reliable data ensures that decisions - whether clinical, operational, or financial - are based on current picture rather than outdated information.  For NES, it also impacts our ability to reach out to the right appraisers for invitations to Refreshers sessions and other workshops and training events.  More over, accurate data will help when the time comes to compile MARQA submissions.

To search for who have appraiser roles in your health board, click on "Appraisers" from the menu.

From the appraisers listed, you can see how many appraisers you have (tally at bottom of the page), quick links to open page showing ongoing appraisals, allocated appraisees and, if there are any, Admin Notes.


Removing appraiser role

If you do have any appraisers on the list who are no longer appraising, you can remove their role from the system to keep your list accurate. But before you do, check that:

  • The appraiser has no incomplete / ongoing appraisals; and
  • All their allocated appraisees are reallocated first.

In the current SOAR setup, any incomplete appraisals on SOAR will stop the appraisee from being able to proceed with a new appraisal.  And if you were to reallocate the appraisees with this unresolved, it will impact appraisers' ability to sign off the Form 4s if required.

Dealing with incomplete appraisals

If you have any appraisers that you need to remove and they have ongoing appraisals, reach out to the appraiser (and appraisee if appropriate) to see what the issue is.  If needed you may need to liaise with your Appraisal Lead.

If appropriate, it is possible to change the appraiser of the appraisals (depending on the circumstance).  Feel free to reach out to NES for assistance if needed.

Once the appraisal is resolved (either via Form 4 sign off, Form 5A or 5B, manual completion or deletion), check that there are no appraisees allocated to this appraiser.

If you were to remove the appraiser role whilst they still had appraisees allocated, those appraisees will become unallocated and unless you have local copies of this, it will be difficult for you to track who requires reallocation.

Once the incomplete appraisals are resolved and no appraisees are assigned, you go go ahead and remove the appraiser role.

When you click the name of the appraiser, you will be taken to their profile.  Click on the "Roles" tab and then click on the correspond "Remove" button against the listed role.

We would be most grateful if you are able to inform the SOAR helpdesk when someone ceases to become an appraiser so we can update our local records also (it will help us when planning Refresher Appraiser invites).

If the user has other roles outwith your health board and depending on circumstance (e.g. appraiser leaving due to relocation etc) you may wish to reach out to the other health board admin teams to let them know.

If the user has training roles like Educational Supervisor, please contact the SOAR helpdesk and we will liaise with the deanery teams to ensure the allocated residential doctors are reassigned.
