Creating new users on SOAR


In the previous section we outlined the need to search rigorously first to make sure the person you are looking for is not already on SOAR.  Duplicate accounts on SOAR is difficult to merge especially if appraisals and appraisal documents are involved.

But there will be reasons why you need to create a new user account, for example:

  • The doctor is no longer in training (post-CCT)
    • Training accounts are separate from the appraisal accounts on SOAR
    • Qualified/post-CCT trainees will need a new account created for appraisal purposes
    • Training accounts will be archived post-CCT automatically
  • The doctor is new to working in Scotland
    • SOAR is only used by those working in Scotland
    • Doctors joining from outside Scotland (England, EU, etc) will need an account set up
    • You may also need to request a Form 4 equivalent to confirm they've been appraised elsewhere before

3 steps to create a new account

Make sure that the user is definitely not on SOAR first via name, GMC number and email.  If user is definitely NOT on SOAR, follow the below 3 steps to create a new user account:

  1. Click on 'New user' from the menu to create a new user account profile
    • Fill out the General Details for the new user
    • Required fields are forename, surname, email address and GMC number
    • Allocate a new unique login name but leave password blank (for now)
    • Leave the Security Questions section blank.
    • Click 'Save'
    • If the login name inserted is already in use you will be prompted to change it
  2. Add the user's roles
    • When saved, the account is created and a new 'Roles' tab will appear along the top - click on this
    • Select the user's Role from the drop-down menu*
    • Select the user's Health Board from the drop-down menu
    • Click the 'Add New Role' button
  3. To finish, return to the 'Details' tab to add the password (must be alpha-numeric, include upper and lowercase, a symbol and be at least 8 characters long).  This triggers an email to the user informing them of their login details (if password was added in step 1 it would not trigger the email).

*Allocation of user role is what restricts their access on SOAR.
